The Clinic Coordinator will play a key role in ensuring the smooth operation of the clinic by managing administrative tasks, coordinating patient care, and supporting the team. As the first point of contact for patients, they will always provide excellent customer service in scheduling appointments, handling patient enquiries and aftercare, and ensuring a positive patient experience.
This role requires a confident, highly organised individual with a warm and friendly manner, who supports our patient journeys and clinic values.

Hours
Monday – Friday. Flexible working required to align with clinic hours. Part time will be considered.
Key Responsibilities
Patient Coordination & Customer Service
- Welcome patients into clinic, taking details and offering refreshments.
- Answer the clinic phone and respond to email and social media enquiries.
- Provide information about treatments and pricing.
- Maintain patient records on CRM system, ensuring accuracy and confidentiality.
- Coordinate follow-up appointments and aftercare communication.
- Manage customer retention process, ensuring next appointment is always booked.
Clinic Operations & Administration
- Manage daily clinic operations, ensuring a seamless patient experience.
- Administrative tasks including data entry, invoicing, and stock replenishment.
- Process payments and reconcile accounts at the end of each clinic day, week, and month.
- Assist clinicians with patient transition, including cleaning and supplies.
- Maintain cleanliness and organisation of clinic rooms, waiting area and communal staff areas.
Marketing & Sales Support
- Promote clinic services and assist in patient education on available treatments.
- Support marketing efforts, including social media updates and clinic events.
- Assist with content creation, recording and editing videos.
- Manage contact with potential clients and identify leads.
- Assist in organising regular clinic events, special offers and patient referral scheme.
- Coordinate patient testimonials and review competition.
Requirements
- Confident, dynamic, and friendly personality.
- Strong interpersonal and communication skills.
- Excellent organisational and multi-tasking abilities.
- Experience in using a CRM system desirable.
- Proficiency in using Microsoft Office.
- Ability to handle confidential patient information with professionalism and discretion.
- Prior experience in a medical or aesthetics clinic is preferred.
